- Registration Area/Counters to be identified & checked
- Look for proper Electricity, Power points, Branding & Fascia as per the requirement
- Self-staffing requires a lot of paperwork.
- Look for proper sitting arrangements with CHAIRS/ AC/ FAN/ HEATER & Water
- Security Personnel’s, Q Managers and Lockable Cupboards / Area to keep all the stuff
- A Counter for personnel from Organizer with proper information about the Exhibition & Conference details to guide support staff
- All Laptops, Printers, Cables etc. should be placed properly
- Proper setup of systems to be done and checked for test run
- Temp Staff to be briefed about the activity before the day starts
- Pre-Printed Stationery Badges, Sleeves, Lanyards and Visitor Forms
- Other Stationery items required are, pens, staplers with pins, scissors, rim of paper, rubber bands, file covers and envelopes etc
Setup of Server and Systems need to be in placed before we start this process. The list(database) of all Exhibitors / Organizers / Other Special Category Badges need to be taken from the Organizers and get them printed before the event and few left would be required to be print on spot.
Queue managers is extremely important part of any exhibition. This helps visitors to decide and segregate themselves the moment they enter into the venue. This helps us to save their time and make it easier to guide them to their respective destinations.
Pre Registered
All pre-visitors will be sent at designated Self Printing Badge Counters/Kiosk for taking their badges as per their own QR/Barcode Code. In case they don’t carry it along with them, the Usher can help attendee by asking his Visitor ID / Mobile Number / Company Name and the badges would be handed over with Lanyards kept across the system.
Kiosk can also be fabricated for Pre-Visitors to take out the badges on their own.
On Spot Registration
All on-spot visitors need to fill the form electronically with basic information to be captured e.g. Name, Company, Designation, Mobile number, Email & Area of Interest (visiting cards to be collected by ushers) to print the badge and hand it over to visitor along with lanyards. Once the person registers, screen will get reset automatically to main screen.
Complete data of the visitor as per the Visiting Card or FORM will be entered after event and submit to organizers.
Self Service Registration
Visitors can also register through their mobile phone by accessing the relevant URL or by scanning a QR code shown at the event, which leads them directly to the registration landing page. Once they submit their details, they get the confirmation on their mail with QR Code for Check-in. With the QR code still displayed on the phone, a newly registered visitor can proceed to the counter where Usher can help him to get his/her badge printed. The visitor can then enter the exhibition right away, saving you time and effort
Badge Scanning
Once the visitor walks into the exhibition/conference area, all badges would be scanned using Barcode/QR Code scanner to scan the badge at the designated counters and the data would be collated day wise. Data would be compiled after the show can be handed over to organizers for them to review.
Post Event Reports
All Data related to exhibition would be handed over to Organizer after proper compilation and as per required format. Few Reports can also be made for submission to analyze the data
